Executive Administrator - CFO

Location of Work: Headquarters Office in Bismarck, ND

Delta Waterfowl is The Duck Hunters Organization, a leading conservation group founded in 1911.  We work to produce ducks through intensive management programs and conservation of breeding duck habitat. Delta conducts vital waterfowl research and promotes and protects the continuing tradition of waterfowl hunting in North America.

Delta’s international headquarters is located in Bismarck, North Dakota. Currently, our dedicated team consists of almost 100 employees, of which about half work within our headquarters office and the other half work remotely throughout the US and Canada. Our organization has experienced tremendous growth over the last few years and this is expected to continue. POSITION SUMMARY
This position provides senior-level administrative support to the Chief Financial Officer and finance leadership team in a timely and highly confidential manner. The role is responsible for coordinating a wide range of complex administrative and operational tasks while ensuring all financial and organizational information is maintained securely and with discretion. In addition to core administrative responsibilities, this position plays a key role in supporting financial initiatives, coordinating activities across internal teams and external partners, and contributing to the effective execution of departmental priorities that support Delta Waterfowl’s overall mission.

ESSENTIAL FUNCTIONS

1. Perform a wide variety of complex administrative functions, such as writing and editing emails, drafting memos, and preparing communications on behalf of the executive leadership team in a timely manner.
2. Prepare, respond to, and send a variety of official correspondence, professional letters, internal communications, and other information as directed.
3. Assist with Finance/Accounting/Operations upstream and downstream communication for the purpose of ensuring cross-departmental transparency
4. Generate reports as requested by CFO
5. Coordinate with the Development team as strategic cross-departmental liaison relative to collaborative initiatives and projects
6. Assist with budget tracking, invoice processing, and expense reporting
7. Coordinate with Finance team on audits, financial reporting deadlines, and compliance matters
8. Help prepare financial presentations and board materials
9. Maintain confidentiality around financial data, legal matters, and sensitive organizational information
10. Ensure alignment CFO and CEO as well as other C-Suite Executives through proactive collaboration and communication with other executive administrators 
11. Organize executive meetings, board meetings, and cross-functional planning sessions
12. Support special projects and strategic initiatives led by CFO, Accounting/Finance team, Operations Team, Human Resources Team.
13. Maintain organized digital and physical filing systems for all departments under the CFO’s purview (finance, accounting, operations, human resources)
14. Other duties as assigned.

REQUIRED QUALIFICATIONS

1. At least five years of successful professional experience in executive administrative positions.
2. Above average oral and written communication skills.
3. Ability to practice a high level of discretion and confidentiality, and stay calm and on-task at all times.
4. Must work well with the general public and in a team environment.
5. Must be organized and able to prioritize responsibilities in a fast paced environment.
6. Problem solving skills and ability to respond to change.
7. Strong analytical skills, ability to work independently, and strong working knowledge of Microsoft Office applications, including PowerPoint, and other software.
8. Ability to travel to attend meetings, events, etc. that occur approximately three times per year.
